Admin Assistant – Al Ain International Aviation Academy - United Arab Emirates

Ensure the effective and efficient operation of all aspects in Al Ain which encompasses the following:
The provision of excellent administrative support including manning the main telephone line, distribution mail both incoming and outgoing. Distribution/sending faxes. Organise and arrange documents for courier service. Office supplies maintenance.
Assist with the administration and provision of event planning and management i.e. location booking, presenter booking, hospitality booking, attendees tracking etc. Assist with the production and mailing of mass mailing items
Greet all visitors to the department offering appropriate hospitality
Act as trainer/mentor to any work placement students or Assistant
Assist team members with IT an communication tasks
The responsibilities listed above are not exhaustive. Additional duties may be added from time to time depending on organisational requirements.
REQUIREMENTS
EDUCATION
Bachelor Degree in Office Administration or similar.
LANGUAGE
Excellent oral and written in both languages Arabic and English.
EXPERIENCE
2 years within a busy office environment.
Proven experience with all office technology, printers, photocopiers, faxes etc.
Customer service and reception skills.
Computer literate.
COMMUNICATIONS
Extensive communications with senior management, faculty, and support staff at Campuses. Will require communication with other campus’s and staff in the Directorate. Excellent communication skills required both personally (speaking and listening) and communication through all other media. The job requires a demonstrable ability to deal with people at all levels, from different cultures and nationalities.

The position requires an energetic, confident and experienced employee who can work under pressure and multitask
An accurate typist
An accurate filer
Ability to track work and work through to resolution.
Can work as part of a team or independently as required
Can organise his/her own workload and that of any reporters
Can ask for assistance when required
Must be able to use mainstream software i.e. Word, Excel PowerPoint etc.
Can use Word, Mail merge, Excel, PowerPoint and ideally understand and utilise SharePoint
