Executive Secretary-Sales Admin - Qatar

Vacancies Available A leading regional IT company located in Qatar needs the following personnel:


1- Executive Secretary Principal Duties and Responsibilities
• To answer incoming telephone calls, determine purpose of callers, and forward calls to appropriate personnel or department.
• To take and deliver messages or transfer calls to voice mail when appropriate personnel are unavailable.
• To answer questions about organization and provide callers with address, directions, and other information.
• To welcome on-site visitors, determines nature of business, and announce visitors to appropriate personnel.
• To update appointment of calendars.
• To receive, sort, and route mail and publications.
• To maintain fax machines, assist users, send faxes, and retrieve and routes incoming faxes.
• Act as liaison between management levels within the organization
• In charge of business travel for the company
• Control travel arrangement with appointed travel agencies
• Understand company HR & Admin policy & Quality policy and maintain and propose amendments.
• To perform other clerical duties as needed.
• Education & Qualification: Diploma in Business Administration or Secretarial, or high school with considerable experience.

Experience:
• Minimum of five years general experience, out of which three years in similar position.

2- Sales Admin
Principal Duties and Responsibilities
• Follow-up on renewal and new sales orders to assure processing in a timely manner
• Take, progress, as well as monitor orders, apart from processing accounts and invoices.
• Maintain customer records, as well as keep records of sales contracts.
• Document and process PR, SR transactions
• Maintain data and ensure its accuracy
• Sales reporting & analysis, spreadsheet management
• Support the Sales team in handling enquiries and order processing
• Manages and maintains office supply levels
• Capture tenders information from different sources and publish to the sales team.
• Tenders / bids filing and maintaining
• Partnerships, agreements, contracts filling and maintaining

Education & Qualification:
• Bachelor Degree in suitable discipline (IT, Commerce..),
